Adapting in-person assembly procedures to an online format
One of the first concerns of our clients is how to align the procedures of an online assembly with the laws and their bylaws, which are often designed for in-person meetings and voting. For the Royal Spanish Sailing Federation, the assembly was held via videoconference. Participants were able to speak in an orderly fashion or through the chat feature. Voting coincided with the Q&A session. Any voter who experienced technical issues could resolve them through Kuorum’s support hotline. Once all participants had voted, the voting session was officially closed.
The importance of voter roll data collection
After resolving the legal aspects, the next step was to update the records of eligible voters. To comply with electronic identification regulations and achieve a substantial level of security in line with technical security specifications, it is recommended to implement a two-factor authentication process. This means voters must provide two forms of identification instead of just one. In this case, the client opted for email and phone-based authentication. Therefore, it was necessary to collect this information in the days leading up to the vote.
Our team supported the federation's secretariat by drafting the necessary legal texts for the data collection process. An online form was created where members could update their information and upload the required supporting documents. Once all information was verified, a final voter roll was compiled, including both individuals and organizations with voting rights, as well as proxy votes.

Unlike in-person voting, the counting process for online voting is instantaneous. Our clients can download preliminary results immediately after the voting session closes. Just a few minutes later, Kuorum issues a signed report that is legally valid for submission to any public registry office.
