The Spanish General Council of Medical Associations organizes hybrid AGMs

Greater legitimacy for professional associations

Spain's General Council of Medical Associations is the body that represents the 52 medical associations throughout the country, both at the national and European level, in matters affecting professional practice.

During the pandemic, the organization of telematic assemblies became mandatory. However, with the return to normality, the hybrid format - both online and in-person - prevailed. The advantages of this format are evident, as it allows for greater participation while reducing the workload for organizers. Now, the legitimacy of decisions made in the assembly is unquestionable. And the Board of Directors can focus on what truly matters, without spending extra hours to managing event logistics through cumbersome email chains.

Preparing AGMs without hurdles

Preparing the general assembly of a professional association involves countless tasks: preparing the agenda, requesting attendance confirmation, managing proxy and early votes, preparing the room for the event, configuring the videoconference, etc. Traditionally, all these tasks have been done using paper, email, and Excel files. Much information is lost, and the person in charge of the organization is overwhelmed by last-minute changes. Additionally, in the case of the General Council of Medical Associations, the assembly attendees are legal entities. So on the day of the assembly, different people can be presented as proxies.

With Kuorum, the client was able to digitalize all these tasks and manage them through a single platform. The attendee management panel allows distinguishing between individuals and legal entities and assigning more than one proxy to each organization. This avoids errors in attendance records. Access to the event is more fluid, and the quorum calculation is instant, so assemblies can start without delay.

"Centralizing all tasks on one platform has been a great relief."

Live voting and real-time results

In these types of events, voting on agenda items is critical. Without user-friendly technology accessible to people of all ages, tense moments can arise. However, technology alone is not enough to solve these challenges. A proper implementation plan is also essential to train both platform administrators and end users. At Kuorum, we have been organizing legally valid voting events since 2013. Our team was involved in the organization of the client's events until they felt comfortable carrying out these events on their own.

Now, voting on agenda items is completed in record time, and consolidating results from both online and in-person voting is instantaneous.

Minutes and reporting

The work doesn’t end on the day of the assembly. The governing board will need minutes to approve at the start of the next session, along with reports detailing the quorum and voting results. Kuorum enables these documents to be generated with a single click and stored in an organized manner within the platform. Additionally, auditors can be granted access to review the entire event in case of a challenge.
