Why did Cofarle need an electronic voting solution?

Cofarle is a pharmaceutical distribution cooperative serving the provinces of León, Zamora, and Palencia. As the fourth-oldest pharmaceutical cooperative in Spain, it supports over 300 pharmacies.

Like many companies with a similar structure, restrictions implemented during the pandemic prevented shareholder meetings and company voting from proceeding as usual. This led to the need for alternative solutions to gather the 46 participants required to vote on important internal decisions.

Cofarle opted for a virtual assembly and electronic voting as a replacement for in-person meetings to protect its employees. The company entrusted Kuorum to carry out the event with full legal guarantees, including voter identification, vote integrity, time-stamped certificates, secure data storage, and ensuring the legal validity of the entire process.

Ensuring secure and legally valid voting

At Kuorum, we take pride in our security standards and understand the importance of guaranteeing the legal validity of voting. Cofarle voters were provided with a two-factor authentication system (via SMS and email), ensuring that only authorized participants could cast their votes. Kuorum uses a time stamp from a trusted service provider, a requirement under European Electronic Identification Regulations. For each vote registered on the client’s platform, an advanced electronic signature certificate was issued, allowing for full accountability in case of any disputes. These certificates are encrypted and stored for five years in compliance with electronic signature laws.

Electronic voting certificates are admissible as documentary evidence in court, and shareholders receive their certificates via email to confirm their votes were successfully recorded. This process prevents disputes over voting methods and provides shareholders with a secure and seamless voting experience.

A customized platform

To set up the customized platform, Kuorum requested a registry with voter details and information about the questions included in the vote. Once these details were received, Cofarle only needed to wait while Kuorum established the personalized electronic voting platform, which was ready within a couple of days.

The voting day

In addition to the voting platform, Kuorum managed the videoconference to organize and moderate the meeting for all participants, ensuring that all voters were in one virtual space, voting simultaneously. Instructions were provided to all voters, along with a dedicated phone support line. There were no incidents among the 46 voters, making the process smooth and straightforward for everyone involved. After the vote, Cofarle received a detailed report outlining the results and including various graphs and figures for the questions presented.
